Editing Visibility & Deleting Files

It's just as simple to edit or remove a file you have shared with someone as it is to upload it. To do this, search for the school and user/role to locate the specific file you wish to edit.

There are a few options you can choose with regard to the file visibility:

Hide the File From a Specific User

To hide a file for a specific user, search for the school and select the user. Click Hide File, or click the three dots to the right-hand side and click Hide File for [name].

 

 

If the file is only visible to that staff member, a standard confirmation pop-up will appear.

If the file has a wider audience and is visible to other staff, you will be asked to confirm whether you only want to hide the file for that individual or if you wish to hide it for everyone.

 

 

If you need to reinstate the file, click Make Visible.

 

Edit Visibility of Existing Audience

To add/remove visibility for existing users in the file audience, click the three dots on the right-hand side of the specific file and select Edit Visibility for Target Audience.

This pops up a box confirming the file detail and which users inside Perspective it is visible to. To toggle this, check or uncheck the required users and click Confirm Changes. In the below example, that file was visible to three users; upon confirming, it will only be visible to Glenn and will be hidden for the other staff.

Edit the File & Target Audience

If you need to amend the file or add additional people to the audience, click Edit the File & Target Audience. 

This opens up the original pop-up from when you first issued the file and allows you to make wider changes. Once you've made any alterations to the file or audience, click Save & Update.

You can use the check box on this pop-up to ensure any newly added staff are notified. In the below example, we've replaced two members of the file audience.

Deleting A File

If you're confident you no longer need the file on the system, you can remove it by clicking Delete the File. 

As in the other examples, the system will ask you to confirm if you're only deleting it for specific users or if you want to delete it for everyone.

Once a file is deleted, it is permanently removed and must be reuploaded in future if required.
