What are Global Files?
Global Files are files where Broadcast can't identify any school or group-specific naming conventions. Broadcast distributes these files to all schools. This functionality is switched OFF by default. More information can be found here.
Does a new school added to a group see all files previously shared with that group?
For security purposes, schools added to groups don't automatically see all files previously published to that group. Any files you have already sent will need to be removed and re-uploaded if you'd like newly added schools to view those files.
Do my schools know when a new file has been sent?
Schools receive a Weekly Digest on a Wednesday morning at 07:00. This email contains a list of anything within Perspective that may require their attention. New files sent that week will be listed in this email. Schools can also be made aware of new files if you use the Notify option after uploading. See the Notifying Schools guide for more information on this.
Who in school can access the files I send?
For files sent via LA View, anyone with Read/Act permissions to the LA/Org Documents permission can view/download files. For more information on Perspective permissions, click here.
For files shared through our Confidential Files system, the LA chooses the audience.
How long does a file show as 'New' in a school's account?
In Perspective, a file will have a New tag alongside it for 30 days from the date it was sent.
Are deleted files removed from both Broadcast and Perspective?
Yes, if you delete a file on Broadcast, it will immediately be deleted from the school's Perspective account.
Files From Schools
I can see a file from a school but can't download it
If a file has been downloaded by someone at the LA already, it is held for a further 30 days. After this point, it is deleted. The Files From Schools page will still show an audit of the files that schools have sent to your LA.
I've specified a required file type, but schools are unable to send files of that type
It is likely that the school is zipping those files, and you haven't selected to allow Zip as an expected file type. You'd need to edit your file request, add Zip to the required file type list, and save. Don't worry; this edit can be made without interrupting your existing request; you don't need to close it.
Who is notified when I reject a file sent by a school?
The school user who uploaded the file will be sent an email to alert them that you have rejected the file.
A File Request has been sent as a Standalone File. How can I remove it from the File Request list?
On your file request list, search for the school and click the three dots on the right-hand side. Then select Remove School.
Confidential Files
What are Confidential Files?
A confidential file is a file that you specifically mark for a specific staff member or role in a school. Confidential files are only visible to the user via a specific folder in their Perspective account. More information can be found by clicking here.
The user I want to send a Confidential File to isn't appearing.
Users must exist in the school's Perspective account and have the relevant LA Documents permission switched to 'Read'.
The head teacher or Perspective administrators at the school are responsible for user setup and permissions.
The role I want to send a Confidential File to isn't appearing.
The role must first be set up in Broadcast in order to appear. Click here for more information on setting up roles for schools.
Can you bulk edit file visibility?
Currently, you are unable to bulk update file visibility; this has to be done at a school or user level. To avoid any errors when sending confidential files out in bulk using our URN/DfE recognition, we include several pre-flight checks to ensure you are confident the files are correct and going to the correct schools and users.
