In order to help schools find the documents that they need, you may decide to add a folder structure to Broadcast, to help organise the documents. This folder structure can be imported into Broadcast if you create the folder structure in the zip files, prior to uploading. For more information on creating folders using a zip, please see this guide.
However, at times it may be necessary to create new folders in Broadcast prior to uploading new documents. This can be done using the New Folder option.
When you create a folder, it will not initially be visible to any schools in your LA. The folder will only become visible to schools when at least one file has been added to it. Empty folders are not displayed in the School View.
To create a new folder:
- Select the location where you wish to create the new folder - if you do not select a folder at this time, then the new folder will be added as a sub-folder of ‘Uploaded Content’
- Click on the New Folder button - this will open up a small pop-up window
- Enter the name of your new folder
- Click on the Create button - this will save the new folder that you have created
When you change the name of a file or folder, you can add, edit or remove the rules for that particular item by changing part of the file name in accordance with the naming conventions.
Please note: If you wish to edit the name of a file that has been uploaded for one school, you will need to include the school identifier in the new file name, or the file will be classed as a Global File.
The file extension (e.g. ".pdf") cannot be changed when you are renaming a file. Please ensure that you do not enter another file extension as this could cause the file to become inaccessible to schools.
To rename a file or folder:
- Select the file or folder in the LA View
- Click on the Rename button - this will open a small window for you to enter the new name
- Enter the new name for the file or folder
- Click on the Rename button
- Click Save
- Click on Publish - this will then make the changes visible to the relevant school audience
